BuildFlow Help Guides for the BuildFlow app

Team & roles

Bring colleagues, consultants and contractors into a project, each with a role that controls what they can see and do.

Inviting someone

  1. Open the Team tab and choose Add member. Enter their name and email (email is required for admins).
  2. BuildFlow creates an invite link — send it by WhatsApp, SMS or email.
  3. They open the link, set a password, and land straight in the app.

People without login details can still be added by name — useful for assigning tasks to a contractor who doesn't use the app yet. Invite them properly later.

Project roles

Each member gets a role on the project: director, project architect, architect, draftsman (in-house or external), QS (in-house or external), contractor, client. The role does two things:

Access levels

LevelMeans
Full editSee everything, change everything.
Full viewSee everything, change nothing.
Assigned onlySee and update only their own tasks.

Set the level per role in the project's Settings tab. A sensible default: consultants full view, contractors assigned-only.

The project owner (usually the project architect) is the fallback for unassigned tasks and is set in the project's Settings tab, not in Team.

Profiles

Click a member's name (or your own, from the sidebar) to open their profile — name and contact details. You can edit your own profile; firm admins can additionally edit other members, change their app role, or deactivate an account that should no longer sign in. Nobody can deactivate themselves.
