Welcome to BuildFlow

BuildFlow keeps a construction project's plan, tasks, documents, photos and team in one place. This guide explains everything in plain language — no technical knowledge needed.

Signing in

  1. Open app.buildflow.lk in any browser (phone or computer).
  2. Enter your email and password. If your firm added you, you'll have received an invite link — open it, choose a password, and you're in.
  3. Forgot your password? Ask your firm's admin to send you a new invite link.

How BuildFlow is organised

WordWhat it means
WorkspaceA folder for related projects — for example one per client, or one for the whole firm.
ProjectOne building job. Each project has its own board, documents, photos, timeline and team.
StageA phase of the work — Foundation, Structure, Finishing. Stages are the rows on the board.
TaskA single piece of work inside a stage. Tasks can have a person responsible, dates, and comments.

Make the tabs yours

The tabs down the left side aren't fixed. Click Customize tabs at the bottom of the menu to drag them into the order you work in, and tuck the ones you rarely open under More — both the main tabs and a project's own tabs. A QS might keep the Ledger front and centre; a site manager might lead with Photos. Nothing ever disappears: anything under More stays one click away, and Reset puts everything back. The arrangement is yours alone — it doesn't change anyone else's view.

If something goes wrong

When BuildFlow can't do something, it tells you why in plain words — and shows a short error code under the message, like BF-403-SCOPE · 8f3a2c1d. You don't need to understand it: if a problem keeps happening, just copy that code into a message to us. It points us at the exact moment it happened, so we can see precisely what went wrong without asking you to retrace your steps.

Your first ten minutes

Small grey hint lines appear throughout the app suggesting the next step. Each one can be dismissed with the small ×, and many link back to a page in this guide.
