Workspaces & projects
A workspace groups related projects. A project is one building job — it gets its own board, documents, photos, timeline and team.
Creating a workspace
- From the Workspaces page, choose New workspace.
- Give it a name — a client's name or your firm's name works well.
Creating a project
- Open a workspace and choose New project.
- Give it a name, e.g. Lunuganga Residence.
- Add a short code — a few letters like
luga. BuildFlow suggests one from the name; you can change it. The code numbers your tasks:luga-01,luga-02… These little references make it easy to mention tasks in chats and site meetings. You can leave the code empty if you don't want numbered tasks.
Project settings
Every project has a Settings tab (next to Board, Documents and Timeline). There you can:
- Rename the project.
- Change the code. If tasks already have numbers like
luga-07, BuildFlow asks whether to renumber them with the new code (they keep the same number, only the letters change) or leave the old ones as they are. - Change the owner — the person responsible by default for tasks that have no one assigned.
- Set role access — what each role (architect, QS, contractor…) may see and edit. See Team & roles.
- Set the approval chain — who signs off payments on this project, in what order. See Ledger. (Only the director or project architect can change it.)
- Delete the project. This is at the bottom for a reason — it asks twice.
Deleting a project removes its board, documents and photos from view. If you're unsure, rename it instead — nothing is lost by renaming.
